Company legal name, privacy contact details and the final effective date must still be inserted and approved by legal counsel.
1. Scope
This policy applies to the ClauseBook website and browser-based clause workspace. ClauseBook is intended for Ontario real estate professionals.
2. Information stored by the web application
ClauseBook stores the following information locally when the agent is signed out and synchronizes it to the agent’s ClauseBook account when signed in:
- Favourite clause identifiers and saved clause drafts.
- Optional property or deal labels and broker notes entered by the agent.
An account record includes the user’s sign-in identifier, email address, display name, subscription status and timestamps. Browser storage can still be cleared by the user or browser.
3. Information ClauseBook does not intend to collect
ClauseBook does not intentionally collect precise location, contacts, photos, advertising identifiers or behavioural advertising data. Search queries remain in the browser. Signed-in users choose whether to save draft wording, property or deal labels and broker notes to their cloud account.
4. Website hosting
The hosting provider may process technical request information—such as IP address, browser type, request time and requested page—to deliver, protect and troubleshoot the website.
5. Accounts and payments
Account authentication is provided through the website host’s secure sign-in service. ClauseBook receives a stable user identifier, email address and optional display name; it does not receive the user’s password. When paid billing is activated, Stripe will process payment information and provide ClauseBook with customer, subscription and payment-status identifiers. ClauseBook does not store complete payment-card numbers.
6. Sharing
ClauseBook does not sell personal information. Draft information leaves the current browser only when the agent deliberately copies it, uses the browser’s sharing tools, prints it or saves it as a PDF. The receiving service’s privacy practices then apply.
7. Retention and deletion
Local information remains until the agent deletes drafts or clears browser storage. Signed-in cloud information remains until the agent deletes it or deletes the ClauseBook account. Account deletion removes the ClauseBook profile, cloud drafts and favourites and cancels an active website subscription; Stripe may retain transaction records as required for legal, accounting, fraud-prevention and dispute purposes. Technical logs are retained according to the applicable provider’s operational and security practices.
8. Safeguards and professional responsibility
Agents should avoid entering unnecessary confidential client information and should use secure, brokerage-approved communication tools when sharing drafts. No storage or transmission method can be guaranteed completely secure.
9. Changes and contact
Material changes will be reflected by a new effective date. The company’s privacy contact and mailing information will be added before paid launch.
